Employment Type: Monday to Friday, FT/PT hours available - Hours negotiable to suit the candidate.

Salary:Negotiable depending on experience & hours

Location: Antrim, just 20 minutes outside of Belfast City Centre.

Role Overview: As Innovate continues to grow, they are seeking an experienced Administration Assistant for their Antrim-based office. This dynamic role requires a strong administrator with excellent customer care skills, demonstrable business support experience, and a keen eye for detail. The successful candidate will play a crucial role in managing administrative and clerical tasks to support Innovate's day-to-day business needs.

Key Responsibilities:

  • Front-desk coverage, managing the phone system, screening calls, and directing them appropriately.
  • Follow up on queries in a timely manner.
  • Provide direct support to senior managerial staff, including note-taking, email updates, and calls.
  • Organize and schedule appointments and meetings.
  • Build and maintain relationships with customers via phone, email, and in person.
  • Assist in the preparation of reports.
  • Update and maintain office policies and procedures.
  • Develop and maintain a filing system.
  • Update bespoke CRM with contact lists.
  • Coordinate courier labels for deliveries, track parcel progress, and provide updates to relevant parties.
  • Perform general administrative tasks such as photocopying, scanning, filing, archiving, and shredding documents.
  • Essential Criteria:

  • Strong desire for the role, willingness to learn and grow with the company.
  • 1-2 years of experience in a busy office.
  • Strong IT skills, including Microsoft suite.
  • Ability to work on own initiative.
  • Excellent telephone manner with strong communication and interpersonal skills.
  • Desirable Skills:

  • Sound administration skills with an understanding of the importance of paperwork.
  • Proven experience as an Administrative Assistant.
  • Outgoing, professional 'can-do' attitude.
  • Superb written and verbal communication skills.
  • Strong time-management skills, ability to multitask and prioritize workload.
  • Aptitude for learning new software and systems.
  • Proficiency in MS Office; Word, Excel, Outlook, PowerPoint.
  • Strong organizational skills.
